Job description

Under the direct supervision of the Chief Financial Officer (CFO), the Assistant Controller position is responsible for oversight of all fiscal, accounting, and reporting activities. The Assistant Controller will be involved in supporting the CFO with presentations to the board finance and audit committee. The Assistant Controller will lead all day-to-day fiscal operations of a budget of $35 million including functional responsibility for accounting, accounts payable, accounts receivable, and payroll.

Responsibilities:

Fiscal and Accounting

  • Oversee all accounts, ledgers, and reporting systems ensuring compliance with appropriate GAAP standards and regulatory requirements.
  • Maintain all internal control and safeguards for receipt of revenue, costs, and program budgets and actual expenditures.
  • Consistently analyze financial data and present financial reports in an accurate and timely manner; clearly communicate monthly, quarterly, and annual financial statements; monitor progress and changes and keep the CFO abreast of UPS financial status.
  • Administer and review all financial plans and compare to actual results with a view to identify, explain, and correct variances as appropriate.
  • Support the CFO in engaging the board’s audit and finance committees around issues and trends in financial operating models and delivery.
  • Maintain oversight of banking activities by directing invoicing accounts payable, and accounts receivable activities. This can include directly issuing checks to vendors and suppliers, monitoring outstanding checks and payments. Also reconciles these payments with banking and financial data.
  • Oversee all financial, project/program, and grants accounting; ensure that expenditures consistently align with grant and program budgets throughout the grant/fund period; collate financial reporting materials for government, corporate, and foundation grants.
  • Manage organizational cash flow forecasting by working in partnership with the program managers and directors.
  • Continuously collaborate with program managers and directors to assess the financial efficacy of program operations and establish fiscal and administrative systems to support program operations.
  • File tax returns and issue payments on behalf of the agency. Working closely with the accounting staff, to gather financial information at the end of the reporting period and determines the agency’s tax liability, if any.

Qualifications:

  • 6+ years of accounting and fiscal experience ideally in a complex nonprofit that has multiple programs, including staff supervision
  • Minimum of a BA in Accounting or Business Administration
  • Integrity, credibility, and unwavering commitment to UPS mission
  • Superior knowledge of not-for-profit accounting practices and financial reporting
  • Solid experience coordinating audit activities and managing reporting, budget development and analysis, accounts payable and receivable, general ledger, and payroll
  • A track record in grants management as it relates to compliance and reporting of government, corporate and foundation grants are essential
  • Keen analytic, organization and problem-solving skills which allow for strategic data interpretation versus simple reporting
  • Strong interpersonal and communication skills; experience in effectively communicating key data
  • Ability and desire to translate complex financial concepts to individuals at all levels
  • Significant knowledge in compliance, budgeting, and cost control principles including GAAP.
  • Thorough knowledge of automated financial and accounting reporting systems. Prior experience with non-profit audits.
  • Familiar with federal, state, and city financial regulations.
  • Strong interpersonal and people management skills, as well as excellent communication skills (oral/written) and presentation skills.
  • Demonstrate a positive, can-do optimistic attitude and strong work ethic in the performance of job duties.
  • Excellent analytical ability, strong planning, and, organizational skills.
  • Mission-driven, strategic thinker, enthusiastic with a collaborative operating style that encourages cooperation with the Agency community.
  • Proficient in using Microsoft Office Suite and other software programs.

Job Type: Full-time

Salary: $100,000.00 – $105,000.00 per year
